Tracking clinic stock

What is on hand is always a total of recorded movements, never a number typed in directly — so it can always be explained by reading the history.

Open this page in the app

The Stock page shows what the clinic currently has of each supply item, with a low-stock banner and filter for anything running out and a total stock value across the catalogue.

How the quantity on hand is calculated

Stock is never edited directly. Every change — receiving a supplier order, recording use, a manual stock count — is written as a movement, and the quantity shown is the total of every movement recorded for that item. This is why the History tab exists alongside the current numbers: it is not a log kept for reference, it is what the current figure is built from.

Recording use

Use the Record use action on an item to remove stock for a reason — consumed in a visit, damaged, expired, or a correction found during a count. A reason is required for anything that removes stock, and the screen shows a live before-and-after projection before it is confirmed. Removing more than is on hand is refused.

Stock also moves on its own from purchasing

Receiving a supplier order adds stock automatically — see Suppliers and purchase orders. This page is where stock is used up, not where it arrives.

Reading the movement history

Every movement is kept, never deleted, with its date, the amount it changed the total by, and who recorded it. A count correction can move stock in either direction, exactly like any other movement — there is no separate "adjustment" table to reconcile against this one.
